1. Overview

Outreach Ninja helps you generate personalized outreach copy based on a public website URL and your offer details. This policy explains what data we process, why we process it, and how you can contact us about your information.

2. Data we collect

We process the following categories of information:

  • Account data: when you sign in with Google, we receive your name, email address, and profile image from your Google account.
  • Input data: website URL, offer description, call-to-action, and selected tone submitted in the generator form.
  • Generated and extracted data: content fetched from the public URL you submit, including text, contact details, and address information surfaced on that page, which is used solely to produce your outreach draft.
  • Billing data: when you purchase credits, we receive and store only a transaction reference, the purchased credit amount, price, currency, and timestamp. We never see or store full card numbers.
  • Credits and usage: your current credit balance, total credits used, and purchase history.
  • Product analytics: if you consent to analytics cookies, we collect anonymized interaction data to improve the product.
  • Technical/session data: authentication session records and basic operational logs needed to secure and run the service.

3. How we use data

  • Authenticate users and keep accounts secure.
  • Fetch and summarize website content to generate outreach messages.
  • Process credit purchases, maintain your balance, and keep records required for tax and accounting purposes.
  • Measure usage and improve product reliability, with session recordings and analytics only collected when you accept analytics cookies.
  • Respond to support requests sent to our support email address.

4. Third-party services

Outreach Ninja relies on the following third-party providers. Data you submit or generate may be processed by these providers as needed to deliver the service:

  • Google— sign-in and account authentication.
  • OpenAI— model processing to summarize websites and generate outreach drafts. Input data and extracted content are sent to OpenAI's API for this purpose.
  • Stripe— payment processing for credit purchases. Stripe collects and stores your payment details under its own privacy terms.
  • Microsoft Clarity— product analytics and session recording, enabled only after you accept analytics cookies.
  • Hosting and database infrastructure used to run the application and store account and purchase records.

5. Cookies and analytics

We use a small number of cookies and local-storage entries that are strictly necessary to keep you signed in and to remember your cookie preferences. Optional analytics are loaded only after you explicitly accept cookies; declining keeps Microsoft Clarity disabled and prevents session recording. You can change your choice at any time by clearing the cookie preference stored in your browser.

6. Third-party data in submitted URLs

Content fetched from URLs you submit may include personal data about third parties, such as names, addresses, or contact details displayed on the page. We process this information only to generate your outreach draft and do not build independent profiles from it. You are responsible for ensuring you have a lawful basis to contact any recipient and for honoring opt-out requests under applicable anti-spam and data-protection laws.

7. Data retention

We retain account and session data for as long as needed to operate your account. Generator inputs and outputs are processed to return results to you and may be retained in temporary operational logs for security and debugging. Purchase records are retained for the period required by tax and accounting rules, typically six to seven years, separately from your account profile.

8. Your choices

You may stop using the service at any time. If you want account data removed, contact us and include the email associated with your sign-in account. Please note that records required by law, such as billing and tax records, cannot always be deleted on request.
